Welcome to Outline Clinic. We have outlined the terms on which Outline Clinic Ltd provides services to its patients. It is important that you read and fully understand these before any treatments take place. If you have any queries please don’t hesitate to speak to a member of our team.

Our terms

These are the terms and conditions on which we supply services to you.

Please read these terms carefully before you book any appointment. These terms tell you who we are, how we will provide services to you, how you and we may change or end this agreement, what to do if there is a problem and other important information.

Booking Your Consultation / Appointment

A consultation fee is required due to the time, expertise & comprehensive assessment offered at this level of consultation. Fees are payable at the time of booking.

£40 booking fee is applicable to all consultations and appointments and is refundable against treatment.

The consultation fee is no longer redeemable (where appropriate) after 12 months from your consultation date. Please note your consultation fee is not refundable if the consultation is cancelled or rescheduled within 2 working days, or if you fail to attend your appointment. If you choose not to proceed with any treatment at our clinic after consultation, then your consultation fee is not refundable.

Booking fees are required for technology-based treatments in order to block the necessary machine out for usage.

Bookings are not scheduled into the clinic diary unless a booking fee has been paid. Payments can be made either over the phone or in person at either clinic.

Cancellations or rescheduling can be made by telephone or in person.

Please contact the Clinic on 01905 795028 if you think you will be late for your appointment. We will always do our best to accommodate late arrivals. However, there may be times when a late arrival will result in reduced consultation time or rescheduling of your appointment.

Outline Clinic will use its best endeavours to ensure that your appointment runs to time, however, there may be times when, for reasons beyond our control, your appointment is delayed. Very occasionally, due to unforeseen circumstances such as equipment failure, we may need to cancel your appointment at short notice. In the unlikely event that this becomes necessary we will make every attempt to contact you to inform you of the fact and to re-arrange your appointment for a mutually convenient time. We do not offer compensation if it is necessary for us to cancel your appointment.

Pre-treatment preparation

You are required to arrive at our clinic at least 5 minutes before your appointment time. Late arrival may result in a reduction to your treatment time. If you are running late, please telephone us and we will attempt to accommodate you if we can.

Please remove all make-up before your appointment at Outline Clinic. If you have not removed your make-up prior to treatment, you will be asked to remove it. We do not have make-up removing products.

We will inform you of any specific preparations you will need to carry out before your treatment, such as shaving prior to laser treatment. Failure to make such preparations may result in your treatment being delayed, time-reduced or incurring additional costs.

Direct Debit Payment Plans

We offer reduced price annual plans which can be paid for by monthly direct debit. Some plans have a deposit payable at the beginning and some plans are deposit-free.

Plans are designed to be paid out over a set period of time, such as 6 or 12 months.

You will be required to accrue payment instalments before treatments can be taken. If your treatment is designed to be taken at specific intervals, and you choose to shorten this interval, then you will be required to make an additional payment to cover the early treatment.

If you cancel your direct debit or change your bank account it is your responsibility to change the direct debit instruction with your bank. You will need to contact our direct debit third party handler, which is GoCardless on 020 8338 9538

Our plans are not designed to be changed or altered once they have commenced and the treatments on an annual plan are not inter-changeable.

If you fail to attend an appointment for a treatment on your direct debit plan, then that particular treatment will be deemed as taken and cannot be rescheduled.

We require 2 working days notice to cancel or reschedule an appointment on a treatment plan, and if you fail to give this notice then your treatment will be deemed as taken and become forfeit.

Cancelling a direct debit plan

If you cancel your direct debit plan once it has commenced, then we will calculate the fees incurred by you to date. These fees are calculated from the standard price list and are not calculated at the discounted plan rate.

We will calculate what you have paid in to date and what treatment you have received. You will be liable to pay for any treatment you have received that has not been covered by your monthly instalment. This includes treatments that are given as complimentary on your plan if they have been taken.

If you have paid in more instalments and have taken less treatment, then we do not refund instalments that you have paid. You may take further treatment in clinic up to the value of your instalments paid into the plan.

Pre-payment Treatment Courses

If you decide to cease treatment after you have pre-paid for a treatment course, then we will calculate the fees incurred by you to date. These fees are calculated from the standard price list and are not calculated at the discounted course rate.

We will calculate what treatment you have received at the standard price rate and we will refund the balance of the course treatment.

If you fail to attend an appointment for a treatment on your pre-paid course, then that particular treatment will be deemed as taken and cannot be rescheduled.

We require 2 working days notice to cancel or reschedule an appointment on a treatment course, and if you fail to give this notice then your treatment will be deemed as taken and become foreit.

Child Policy

We do not allow children under 18 in to the clinic as we are registered with the CQC as an adult-only provision. We do not provide supervision of unaccompanied children under the age of 16 and so we are required to cancel an appointment without refund if this clause is not met. Please - do not bring children along to your appointment with you as we will likely have to reschedule your appointment.

Children are not allowed into the treatment rooms under any circumstances.

We do not treat under 18’s for any cosmetic procedure.

We are insured to treat certain medical conditions on minors over the age of 13. A parent/guardian must be present with all minors (under 18) at all times during the consultation and during all treatments.

If you are aged 18-21 you will be required to bring proof of age, such as driving licence or passport. A copy of this document will be taken and placed on your medical file.

Cancellation Policy

We reserve the right to implement the following cancellation policy.

Cancellation policy is applicable in the following circumstances:

  • Making contact within 2 working days of the scheduled appointment with a request to reschedule
  • Making contact within 2 working days of the scheduled appointment with a request to cancel
  • Failing to attend a scheduled appointment
  • Repeat cancelling twice (or more) the same appointment, even outside of the 2 working days time restriction

If a patient has paid a £40 booking fee

The clinic will take the £40 as a fee. A further £40 will be payable before a new appointment can be booked.

If a patient has paid in advance for a consultation or treatment

The clinic will take the full advance payment as a fee. A further charge will be payable before a new appointment can be booked.

If the appointment in question is part of a course of treatment

The clinic will take the cost of the scheduled treatment as a fee and that appointment will be deemed as taken and become forfeit on the course. Not attending scheduled treatments as part of a course may impact the final result.

Administration Fee

In the event of a cancellation of a pre-paid course, or a direct debit plan, we will charge an administration fee of £50

Appointments CANNOT be rescheduled or cancelled by the following methods: Any social media platform e.g. Facebook, Twitter, Instagram etc. or by text message. We require telephone cancellations or cancellation in person, to give us the opportunity to offer the appointment slot to our patients waiting on our cancellation list.

Not receiving an appointment reminder via text/email is not considered a valid reason for not attending an appointment.

Other Important Information

No refunds of any kind will be given on any treatments or any procedures undertaken.

Unless you have purchased a course of treatments, all treatments must be paid for at the time of the appointment and proof of your ability to pay may be required prior to any treatment taking place. We accept payment by most major credit/debit cards, and cash.

Outline Clinic reserves the right to refer non-payments to debt collection agents.

A contract is for a specific number of treatments and all treatments must be taken within twelve months of the date of purchasing the contract. The contract lapses on the first anniversary of the purchase date and all outstanding treatments will be forfeited.

We will always assess your suitability for treatment prior to any treatment being carried out. If we consider that you are unsuitable for the treatment you have enquired about, or if we consider that the treatment is unlikely to be successful, we will inform you of the fact and the reasons why we have reached this conclusion. In these circumstances you will be refunded your consultation fee.

It is the patient’s responsibility to ensure that he or she provide Outline Clinic with all relevant medical details prior to each treatment. Outline Clinic will not be liable for any damage that occurs as a result of the patient’s failure to disclose such details.

No photography or videography may be carried out without express permission inside our treatment rooms. Anybody found filming treatments, even with permission of the patient, will be required to delete the files whilst on the premises.
