This privacy policy sets out how we collect personal information from you and the personal information you provide will be processed by us. By visiting our websites, including our subsidiary The Pigmentation Clinic, you are accepting and consenting to the practices described in this privacy policy. If you do not consent, please do not submit any personal data to us.

Outline Clinic Ltd uses the information collected from you to provide quotations, make telephone contact, text appointment confirmations and to email and post you information regarding products and services you have expressed an interest in, or that we believe will be of interest to you as a patient of Outline Clinic Ltd.

If you are making initial contact you consent to Outline Clinic Ltd maintaining a sales dialogue with you until you either opt out (which you can do at any stage) or we decide to desist in promoting our services. If we obtain consent from you to do so, we will also send you promotional marketing emails. You have the right to withdraw your consent to processing of your personal data at any time or if you prefer not to receive promotional marketing messages from us please let us know by contacting us via the details listed at the bottom of the page, or click on the ‘unsubscribe’ option hosted in any marketing email we send to you and we will take steps to ensure that your information is deleted as soon as reasonably practicable.

Some personal data may be collected about you from the forms and surveys you complete, from records of our correspondence and phone calls and details of your visits to our website, including but not limited to personally identifying information like Internet Protocol (IP) addresses. Legal basis for processing any personal data

To meet Outline Clinic Ltd’s contractual obligations to clients and to also send newsletters and informational emails pertaining to services and products at the clinic.

Data storage

Data is held in verified GDPR compliant locations using different (multiple) servers. Outline Clinic Ltd does not directly store personal data outside the EEA.

What information does Outline Clinic Ltd hold and how will we use it?

Information is collected when you complete any enquiry forms on our website or where you have requested via the website, that we send you marketing information. This information may include name, email address, address / location and phone number.

Retention Policy

We will retain this information whilst we are corresponding with you or providing services to you. We will retain this information until you tell us you no longer want to hear from us or up to 5 years.

If you go on to become a Outline Clinic customer, and receive treatment, that then defines you as a 'patient', then your data will be kept on record as long as required by UK law.

Your rights as a data subject

At any point whilst Outline Clinic Ltd is in possession of or processing your personal data, all data subjects have the following rights:

  • Right of access – you have the right to request a copy of the information that we hold about you.
  • Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
  • Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records. (Please note the GDPR does not override the law, which may require us to hold data for up to 10 years if you are a “patient”)
  • Right to restriction of processing – where certain conditions apply you have a right to restrict the processing.
  • Right of portability – you have the right to have the data we hold about you transferred to another organisation.
  • Right to object – you have the right to object to certain types of processing such as direct marketing.
  • Right to object to automated processing, including profiling – you also have the right not to be subject to the legal effects of automated processing or profiling.

In the event that Outline Clinic Ltd refuses your request under rights of access, we will provide you with a reason as to why, which you have the right to legally challenge.

Data Outline Clinic collects for “patients”

We collect and hold full details, which includes sensitive personal medical history data. All of our medical records are held in written format and are not digitally stored. Medical records are stored on the premises in lockable filing cabinets. Patients personal (and not medical) data (such as name, address, telephone, email, date-of-birth) is stored via a cloud-based system Practicepal, whoc are responsible for encryption and safety of your personal data on their servers and database.

We also hold photographic records of patients which are held digitally, and the devices are fully password protected. They are stored in a cloud-based format. We do not share medical photographs with other patients, staff or on social media without express written consent of all patients.

The GDPR does not override the law, which states that medical records must be held for an express period of time (typically 10 years) including after death of a patient.

The medical history forms that patients complete in-clinic explain how we use your data and for how long.

Your rights to your information:

You can request the following information:

  • Identity and the contact details of the person or organisation Outline Clinic Ltd that has determined how and why to process your data.
  • Contact details of the people responsible for data protection, where applicable. We have a dedicated member of staff for GDPR compliance.
  • The purpose of the processing as well as the legal basis for processing.
  • If the processing is based on the legitimate interests of Outline Clinic Ltd.
  • The categories of personal data collected, stored and processed.
  • Recipient(s) or categories of recipients that the data is/will be disclosed to.
  • How long the data will be stored.
  • Details of your rights to correct, erase, restrict or object to such processing.
  • Information about your right to withdraw consent at any time.
  • How to lodge a complaint with the supervisory authority (Data Protection Regulator).
  • Whether the provision of personal data is a statutory or contractual requirement, or a requirement necessary to enter into a contract, as well as whether you are obliged to provide the personal data and the possible consequences of failing to provide such data.
  • The source of personal data if it wasn’t collected directly from you.

To access what personal data is held, identification will be required

Outline Clinic Ltd will accept the following forms of ID when information on your personal data is requested: a copy of your driving licence, passport, birth certificate and a utility bill not older than three months. A minimum of one piece of photographic ID listed above and a supporting document is required. If Outline Clinic Ltd is dissatisfied with the quality, further information may be sought before personal data can be released.

Complaints

In the event that you wish to make a compliant about how your personal data is being processed by Outline Clinic Ltd, you have the right to complain to our Clinic Manager. If you do not get a response within 30 days you can complain to the Data Protection Regulator.
